10 Essential Documents KRA Asks For During a Tax Audit

    September 2026•5-minute read

Facing a tax audit from the Kenya Revenue Authority can feel overwhelming, but most of the stress comes from scrambling to find records at the last minute rather than the audit itself. When a KRA auditor notification letter arrives, it typically comes with a desk audit request naming specific records the officer wants to verify against your statutory filings. Knowing what's on that list before it arrives is the single biggest thing you can do to keep an audit short and painless. If you'd rather not navigate this alone, our [Tax Assessments & Objections](https://hilltechconsultants.co.ke/services/tax-assessment-objections) team handles audit defense representation from the first notification letter onward.

The first thing auditors pull is your bank statements and reconciliation statements. Every credit into your operating accounts, fixed deposit accounts, and merchant or mobile money accounts (Till and Paybill numbers included) gets cross-referenced against your declared turnover, so monthly bank reconciliations must be prepared properly.

Second, auditors want your audited financial statements and management accounts — the signed balance sheet, income statement, cash flow statement and notes, plus trial balances and monthly management accounts that give them the macro view of how your business actually runs, typically produced through our Audit & Assurance Services.

Third are your sales invoices and eTIMS electronic tax invoices. With eTIMS now mandatory, KRA checks invoice validity and VAT compliance closely, so you'll need system-generated sales ledgers, customer tax invoices, electronic receipts, and any debit or credit notes issued during the audited period. If your POS or accounting software isn't transmitting correctly, our KRA eTIMS Integration service can fix that before it becomes an audit finding.

Fourth, purchase invoices and valid eTIMS supplier receipts. To claim cost deductions or VAT input tax, KRA needs proof the expense was wholly and exclusively for business — supplier invoices, delivery notes, purchase orders, and valid eTIMS invoices covering every claimed expense category.

Fifth are payroll schedules and statutory return receipts. Gross salaries, benefits, and withholdings get audited in detail, so have your monthly master payroll schedules, PAYE returns, statutory deduction payment slips (NSSF, SHIF/NHIF, the Affordable Housing Levy) and employee contracts ready — all things our Payroll Processing & Statutory Compliance service manages monthly on your behalf.

Sixth, withholding tax and withholding VAT certificates. If you're claiming tax credits or verifying tax deducted at source, you'll need your downloaded iTax WHT certificates plus records of any withholding tax you deducted and remitted when paying suppliers or consultants.

Seventh, if you import or export, expect a request for customs declaration documents — bills of lading, air waybills, import declaration forms, single customs entries (C178s), duty receipts and clearing invoices, all cross-checked against Customs records for import duty, excise duty and VAT.

Eighth is your fixed asset register and depreciation schedules. Claiming capital allowances on land, buildings, equipment or machinery means showing asset additions and disposals, purchase agreements, logbooks or title documents, and your tax depreciation computations — the kind of proactive structuring our Tax Consultancy & Strategy team builds into your annual planning.

Ninth, commercial contracts, leases and service agreements. Auditors use these to assess transfer pricing, related-party transactions, management fees, royalties and rent — so keep executed tenancy agreements, consultancy contracts, franchise agreements, loan agreements and inter-company service agreements on hand.

Tenth, and often the deepest dive: your general ledger and detailed expense registers. This is where auditors look for disallowable expenses, non-business spending, or unrecorded revenue, so full ledger listings, petty cash vouchers, travel receipts, utility bills and entertainment breakdowns all need to be in order. Filing errors here often trace back to how income tax returns were prepared in the first place — something our Corporate & Income Tax Filing service is built to prevent.

The best defense against a stressful audit is not waiting for the letter. Run a tax health check before KRA flags anything, make sure every purchase is backed by a valid eTIMS receipt, keep digital records for the five years required under Section 23 of the Tax Procedures Act, and reconcile your iTax filings against your internal ledgers regularly rather than once a year.
