    ABOUT WHY

Why Did KRA Disallow My Business Expenses? (2026 eTIMS Explanation)

    September 2026•3-minute read

If you filed your return and watched KRA disallow expenses you know you genuinely paid for, you're not imagining it, and you're not alone. Since January 1, 2026, KRA has been running every income tax return through an automated Income and Expense Validation Engine that cross-checks what you declared against three data sources: eTIMS/TIMS invoices, withholding tax records, and Customs import data. If an expense doesn't show up on one of those, it gets flagged — whether or not the money actually left your account.

The legal root of this is Section 16(1)(c) of the Income Tax Act, in force since January 1, 2024: expenses not generated through TIMS or eTIMS are simply not allowable deductions for income tax purposes. It doesn't matter that you have a bank statement, an M-Pesa confirmation, or a handwritten receipt. If your supplier didn't push a compliant electronic invoice carrying your KRA PIN, KRA treats that cost as if it never happened — and taxes you on the profit as though you kept the full amount.

The most common way business owners get caught out: paying a supplier who simply isn't onboarded to eTIMS, or who issues invoices manually 'to save time.' The moment that happens, the expense is orphaned in KRA's system with nothing on the other side to match it against.

There is a narrow fix for the 2025 year of income filed in 2026: KRA opened a one-time 'Manual and Non-eTIMS/TIMS Invoices' upload feature under Income Tax Return Adjustments on iTax, letting you declare genuine expenses that lack an eTIMS invoice, subject to KRA reviewing and validating them afterward. KRA has been clear this is a temporary concession — from the 2026 year of income onward, every declared expense must trace back to a valid eTIMS-generated invoice, full stop.

The practical lesson isn't 'file the workaround every year.' It's fixing the supplier side now: confirm every vendor you pay is actively transmitting to eTIMS before you pay them, not after your return gets flagged. If you're not sure how exposed your last filing is, we can pull your eTIMS transaction history against your expense ledger and show you precisely where the gaps are before KRA does.
