If you run your books on cloud accounting software, the question isn't whether you need eTIMS — under the VAT Act and Finance Act 2023, every business issuing invoices in Kenya must be on eTIMS regardless of VAT registration status. The real question is how much manual work your specific software adds on top.
Zoho Books is registered with KRA as an Online Sales Control Unit (OSCU) integrator, so the connection is genuinely native. In your Zoho Books e-Invoicing settings, you generate a device serial number, request an integration token from Zoho, and submit an eTIMS service request on the KRA portal choosing OSCU as your type. Once approved, every invoice you raise in Zoho pushes to eTIMS with a single click — no separate system, no re-typing figures — and the platform also lets you pull your purchase bills and stock data back from your KRA taxpayer profile to keep both sides matched.
QuickBooks is a different story. It is not currently a KRA-approved eTIMS integrator, so there's no built-in 'push to eTIMS' button. Businesses running QuickBooks typically handle eTIMS one of two ways: issuing eTIMS invoices separately through the free eTIMS Online portal or eTIMS Lite (via web or the KRA app) and then recording those same figures in QuickBooks, or, for higher invoice volumes, working with an implementation partner to bridge QuickBooks to KRA's OSCU/VSCU device API. Either route works, but both mean you're maintaining eTIMS compliance as a parallel step rather than a single click inside the accounting software itself.
Where this bites businesses in practice: duplicate entry creates room for mismatches between what's declared in QuickBooks and what's actually sitting in eTIMS, and since January 2026 KRA validates your annual return against your eTIMS data automatically. A gap between the two systems doesn't just look untidy — it's the exact pattern that gets expenses disallowed or triggers a review.
If you're deciding between the two, or you're already on QuickBooks and tired of double entry, we help Kenyan businesses set up the right eTIMS workflow for whichever platform they're on — including migrating to Zoho Books where a direct OSCU connection makes more sense long-term.
